Presentation

In the context of its activity as an Electronic Certification Service Provider, Certinomis collects and processes information relating to natural persons who are beneficiaries of an electronic certificate or who are identified as a legal representative or certification agent or as a billing contact for a client organisation.

This page presents the measures taken by Certinomis to ensure the respect of your rights and the security of your personal data in accordance with the provisions of the French law n°78-17 of 6 January 1978 and the European Regulation EU 2016/679 of 27 April 2016.

Responsible for the processing

Docaposte Certinomis SAS is registered in the Créteil Trade and Companies Register under number B 433 998 903 00036 and has its registered office at 45-47 Boulevard Paul Vaillant-Couturier – CS 50108 -94 766 IVRY SUR SEINE CEDEX.

Personal Data Collected

– Personal data contained in an electronic certificate: the surname, first name and e-mail address of the natural person identified by the certificate [The Beneficiary] and, where applicable, the company name and identification number of the legal person it represents.

– Personal contact data for the processing of certificate applications and the management of their lifecycle: for organisation or server certificates, the surnames, first names, professional e-mail addresses and telephone numbers and a copy of an identity document of the Beneficiary and of the natural persons identified to interact with Certinomis within the framework of the Contract (i.e. legal representative, certification agent, billing contact).

– Data used for analysis or statistical purposes: connection and navigation data and IP addresses.

– Data used for payment: the credit card information you provide to pay for your order will be collected by the company Vérifone e-Commerce (PAYBOX service), which will not communicate it to Certinomis.

– Personal data collected for the purpose of providing commercial information: this includes surnames, first names, e-mail addresses, postal addresses and, if applicable, the organisation to which you belong, communicated by e-mail, telephone or contact form to the Certinomis sales department.

 

Exercising your rights :

• Consent: Consent to the collection and processing of personal data contained in the certificates or used for the processing of certificate applications or the management of their life cycle is given by the signature of each person concerned in the Certinomis General Terms and Conditions of Use, which are attached to the application files; Consent to the collection and processing of connection or browsing data and IP addresses is given by accepting cookies when connecting to the site; consent to the collection of credit card information is given on the payment site; consent to the collection of data in order to receive commercial information is given by the request of the prospect or client.
• Right of access, rectification, deletion, portability of data: pursuant to Law No. 78-17 of 6 January 1978 and European Regulation EU 2016/679 of 27 April 2016, you have the right to access, oppose, rectify, delete and port your personal data.
  However, the exercise of these rights may not be exercised to the detriment of legal obligations, in particular the requirement for Qualified Certification Authorities to keep the data justifying the issue of a certificate for 5 years following the expiry of said certificate.

Retention period :

• Data contained in the certificate or used for application processing or life cycle management: this data is kept for seven (7) years after the expiry of the last certificate to which it relates.
• Data used for analysis or statistical purposes: this data is kept for a maximum of 13 months.
• Data communicated for the purpose of receiving commercial information: this data is kept for a period of five (5) years after the last interaction with the data subject.

Purpose of the processing :

• Data contained in the certificates: these data are attached to the beneficiary’s public key and other technical information to build his electronic certificate. The beneficiary is informed that the electronic certificate is a public structure that he/she disseminates for each of its uses (authentication, signature, encryption).
• Personal contact data for the processing of certificate applications and the management of their lifecycle: this data is verified by authorised Certinomis staff to authorise the issue of certificates; unless objected to, it may be used by Certinomis for marketing or promotional purposes, solely for services offered by Certinomis.
• Connection data, navigation data and IP addresses: these data will be used to measure the audience of our websites and to improve the navigation on our websites or the presentation of our services.
• Data provided for the purpose of receiving commercial information: this data is used to respond to the request and may be used at a later date to provide related information that may be of interest to the person concerned.

Security of Personal Data:

Certinomis has implemented security measures to prevent unauthorised access, modification, deletion or theft of your personal data.

All communications with and between our computer servers are encrypted, and access to data is restricted to those of our staff or service providers who need to know.

All personal data is stored on systems that are audited every two years as part of the qualifications obtained by Certinomis (RGS 2 stars and eIDAS qualification), which are the most demanding in our business.

Communication of Personal Data:

Certinomis does not sell or disclose Personal Data to third parties.

However, in order to comply with legal obligations or to respond to judicial requests or legitimate requests in accordance with European law from public authorities of a State, we may be required to communicate the personal data required, in particular, but not exclusively, to justify the issuance of an electronic certificate.

Hosting of Personal Data:

All personal data is hosted on production sites owned by our parent company Docapost or one of its subsidiaries; these sites are located in metropolitan France.
